OISS Transitioning to MyOISS on October 1, 2025

Dear Colleagues,

We are excited to share some important and long-awaited news!

OISS will officially transition to a new database platform for international scholar case management, MyOISS, on October 1, 2025.

This change represents a major step forward in our commitment to improving your experience with OISS processes and systems. We have been working diligently behind the scenes to ensure this new platform meets your needs and significantly streamlines how requests are submitted and managed.

MyOISS will offer enhanced case management tools, intuitive workflows, and clearer instructions to support more complete submissions from the start – helping reduce delays and creating a more efficient and user-friendly process for everyone involved. We are genuinely excited about the improvements this will bring for both departments and scholars.

As part of this transition, please note the following important dates and planning items:

  • Submission Pause: OISS will not accept new submissions from September 1, 2025, through October 1, 2025, to allow for a smooth transition to the new system.
  • Early Submission Deadline: We kindly request that departments submit any new sponsorship or update requests via OISS Connect by August 15, 2025, to allow adequate time for processing before the submission window closes.
    • If OISS contacts you for missing or additional documentation, please respond as quickly as possible. Incomplete requests may need to be postponed and resubmitted in MyOISS after October 1st.
  • Start Date Considerations: Any requests that cannot be fully processed by August 31st or submitted before the month-long pause (in September) will need to be postponed, and associated start dates adjusted accordingly to align with MyOISS availability.
  • OISS will continue to work behind the scenes on complete requests submitted prior to the pause.
  • Instructions & Resources: Guidance on how to invite a scholar or submit other requests is available on our website.
  • Department Reporting Tools: Departments can run their own reports to check whether any scholar records need action. Instructions on how to export this information are included under F: Actions – Export Excel on our website.
  • Scholar Communication: At this time, scholars will not receive individual notices about this change. To minimize confusion, please work directly with your scholars to keep them informed.
